Scope of role: Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests of the Executive Office.
Key Responsibilities:
Provides secretarial and administrative support to General Manager, Hotel Manager.
Coordinates work with other executive and support associates to ensure a high performance,
Guest service-oriented work environment
Ensuring that all management, staff and visitors arriving or contacting the hotel by all forms of correspondence are treated in a professional manner.
Drafting and typing all correspondence for the Executive Office and hotel guests clearly and quickly with attention to detail and accuracy.
Schedules, prepares agenda and meeting materials and types minutes for various meetings.
Maintaining confidentiality with regards to information ensuring that nothing confidential is discussed in front of visitors, staff or other managers
Reviews, determines the priority and routes incoming correspondence, reports, requests and instructions; handles or refers matters as directed.
Ensuring the General Manager’s diary is kept up to date and that all appointments are detailed accurately and clearly, helping the General Manager to ensure effective time-management.
Preparing board reports, financial reports and presentations as required for the General Manager, ensuring deadlines are met.
Carrying out any reasonable requests made by General Manager or Management Team Members.
Any other duties as directed by the General Manager / Hotel Manager
Ensures all food hygiene and health and safety regulations are strictly adhered to and implements any legislation as required by UAE Law.
Qualifications & Experience:
Minimum 3 - 5 years previous luxury / upscale hotel experience in a related field.
Ability to work well under pressure in a fast-paced environment.
Pro-active, responsible, able to work under pressure, tight deadline and flexible work hour.
