JOB PURPOSE:
Handle all activities
relating to guest accounts, receiving and filling of checks, posting, control
of safety deposit boxes, mail & information services, cashiering
procedures, foreign exchange payment/ settlement of guest accounts money change,
room blocking and inventory, guest check-in, room transfers and other guest
requirement.
JOB RESPONSIBILITIES
(BUT NOT LIMITED TO):
Responsibilities and
duties for this position shall include but be unlimited to the following areas
and activities. At management discretion, direction may be given for tasks outside
the scope of work described.
A. POSTING
1.Posts all incoming
charges immediately
2.Maintains updated
guest account.
3.Files all checks and
vouchers correctly and immediately.
4.Ensures that all
incoming and outgoing fax message are handled accurately and urgently.
B. SAFE DEPOSIT BOX
Assigns a safety
deposit boxes to in-house guests and ensures that theSDB form has complete
information.
1.Compares guest
signature on the SDB signature card whenever a request is made to open a box.
2.Issues departmental
keys to authorized personnel.
3.Counter-checks all
safety from cards to update departure date for all overdue safety deposit box
keys.
4.Makes an inventory
of all SDB keys.
5.Ensures that safety
deposit box is empty when such is released by guest and SDB key is returned.
C. MAIL AND
INFORMATION
1.Distributes room
keys to hotel guests.
2.Sorts and
distributes all incoming mails of guests and hotel employees /departments.
3.Handles all incoming
messages for hotel guests and relays them promptly and efficiently.
4.Handles
incoming/outgoing messages, telexes, fax and packages of guests and details
5.Keeps inventory
items/package for storage/pick up.
6.Checks unclaimed
letters, messages, and packages for in-house guests.
7.Handles postage
stamp service.
8.Updates Mail and
Information logbook.
9.Updates knowledge on
all hotel; operating hours, activities and promotions.
10.Keeps informed
about present and future hotel functions.
D. CASHIERING
1.Maintain active
guest accounts in a current up-to-date manner.
2.Maintains bank of
float at the correct sum at all times.
3.Checks out departing
guests and updates corresponding master folios according to established
procedures.
4.Strictly follows all
hotel credit and check-cashing procedures.
5.Collects room keys
from guests who are checking-out.
6.Issues Central bank
receipts on every foreign exchange.
7.Issues and posts
Cash Credit Voucher upon receipt of cash and check payments.
8.Assists in posting
all incoming charges for in-house guests.
9.Ensures that all
direct bill charges are duly approved by Credit, Front Office Supervisor, Duty
Manager, and that all supports are complete.
E. RECEPTION
1.Upsells the hotel to
guests whenever the opportunity arises.
2.Keeps informed of
RIU Hotels & Resorts policies and procedures as they relate to the FO
operations and guest service.
3.Keeps informed of
RIU Hotels & Resorts discounting procedures.
4.Blocks and
pre-registers rooms according to reservation requests.
5.Blocks rooms for
arriving guests according to set procedures.
6.Makes and follows
through room-rate-name changes.
7.Immediately
processes all checked-in registration cards and sets up an accurate folio in
the system.
8.Types all
pre-registered and NSR key envelopes prior to guest arrival.
9.Double checks
accuracy of pre-registered envelopes against registration cards and inserts the
key in the welcome cards.
10.Keeps informed
about the groups/conventions arriving for the day and assists in their
requirements to facilitate service.
OVERALL
1.Answers the
telephone promptly according to Westin standards.
2.Attends to every
guest requests the best way possible.
3.Keeps informed of
the hotel’s emergency procedures.
4.Maintains a clean
neat work area at all times.
5.Checks supplies
weekly in the work area and requisitions accordingly.
6.Keeps updated on the
system operation and procedures.
7.Supervise tasks of
junior receptionist.
8.Performs other
duties as may be assigned from time to time.
